Exhibition Guide

The ASCNUK26 Exhibitor Guide provides essential information to help you prepare for exhibiting at the conference. It includes venue details, stand set-up times, health and safety requirements, promotional guidelines, and links to key forms and supplier contacts.

We recommend sharing this guide with any colleagues involved in your exhibition planning, as well as with any external agencies or contractors supporting your stand. Ensuring all relevant parties have access to this information will help your team stay informed and fully prepared.

Health & Safety Forms

Before the event, the venue requires ALL exhibitors to complete the necessary Health & Safety forms. This is essential to ensure the smooth running and safety of the event and its participants. Please complete the form and email it to us at admin@ascnuk.org by August 2nd.

Cameron Event Logistics Portal

To place orders for services provided by Cameron Event Logistics, please access the portal below. The portal offers 24/7 online ordering, real-time product inventory tracking, and tailored options to suit your specific requirements.

Deliveries and Collections

Deliveries are only accepted from Friday 18th September, so we would recommend you use Cameron Event Logistics as they have an off-site advance warehouse and will transfer to your stand ready for you to set up.

Delivery Labels for Small Items delivered directly to the Venue:

If you are shipping directly to the Hilton Birmingham Metropole (HBM), each box or parcel must have a duly filled-out Hotel delivery label attached. Security will not accept deliveries without HBM delivery labels due to health and safety regulations. All the exhibitors must clearly mention stand numbers and stand names on the delivery labels to reduce waiting time during setup.

Below you will find further delivery and collection instructions from Hilton Birmingham Metropole, as well as the necessary label you must download, complete, and attach to every parcel.

Exhibitor Giveaway and Activity Submission

Please note: ALL exhibitors must provide details about the items and activities they plan to offer at their exhibition stand. This is to ensure compliance with the conference guidelines and approval by the medical research governors.

The deadline for this to be completed is the 2nd August 2026.

Below you will find a reminder of the number of personnel that are included within your exhibition stand size. Additional exhibitors can be added once registration opens. Please refer to your invoice or get in touch via email if you are unsure on your stand size

Managing your bookings

For Exhibitor bookings, especially those who have block bookings, we have set up dedicated access codes to help you manage all of your reservations in one place. You can use your code, which you will have received via email, on a dedicated login area which will show what bedrooms you have used and what you have remaining. 

How to use your code

When making any booking (including exhibitor personnel and delegate places), please ensure this code is entered in the “Access Code” field at the very start of the booking form. Please note you can use this code for those who are not having a bedroom aswell those who are.

Why this is important

Using your access code will allow you to:

  • Link all bookings and invoices under one central account
  • Track how many bedrooms you have reserved and how many remain available
  • Maintain full visibility of your exhibitor personnel and delegate bookings
  • Access all associated invoices in one place

Please follow the above link to access the login area (the login information is your unique 6 digit code) to view bookings made using your code. Please note you are not able to edit the reservations however the full visibility will allow to you to easily communicate changes to us.

We strongly recommend sharing this code internally with anyone in your organisation who will be making bookings, to ensure everything is captured correctly under your allocation.
